Job Summary of the Administrative Assistant
Integr8staff seeks a reliable, self-determined forward-thinking Administrative Assistant to support the accounting department for a growing company in Paramount, CA. As a member of the accounting team, you will be responsible for preparing, filing, scanning customer paperwork, contacting and emailing customers to attain payment information.
Responsibilities of the Administrative Assistant
Provides administrative support to the office team by maintaining the organization and filing of spreadsheets and supporting documentation
Reviewing, updating, scanning and physically preparing customer documents.
Entering and inputting customer data, requests, orders, payment information, history, etc.
Handles invoice review and approval retrieval
Working in a phone and email system and following up with existing customers.
Answering phone calls, handling and resolving customer inquiries in a professional manner.
Being informative of current status and offering solutions to reasons for call.
Continual building/refining customer service skills and knowledge
Prepares written responses to routine inquiries
Requirements of the Administrative Assistant
2 years relevant experience and or BA/BS degree preferred.
MUST maintain a professional business appearance
Experience handling clerical procedures and systems such as filing and record keeping
Excellent customer service skills answering phones and emails.
Works independently within defined policies and procedures.
Strong attention to detail, organizational skills, and analytical skills.
Requires ability to be informative and professional during challenging situations.
Strong problem-solving skills.
Strong Word and Excel skills, highly preferred
Must be able to pass a background check and drug screening
