Job Summary of the Executive Assistant position
Integr8staff seeks a versatile and seasoned Executive Assistant to support the CEO and President of a real estate firm. The Executive Assistant should be driven, autonomous, yet team oriented to lead themselves and contribute to the organization with minimal supervision.

Responsibilities of the Executive Assistant position
Coordinate executive communications, including taking calls, meeting minutes and interfacing with internal and external business partners, vendors, clients, etc.

Schedule meetings and appointments and manage travel itineraries
Assist with communication to business partners, internal contacts and other third parties
Perform general administrative tasks including overseeing organized filing system of paper and electronic documents
Assist the executives in problem-solving, decision-making, and prioritizing tasks.
Prepare and proofread correspondence, reports, and presentations
Attend meetings, take notes, and distill down the key takeaways, action items, and follow-ups for the executives
Conduct research, gather and analyze data, prepare reports or presentations, and provide recommendations or alternative solutions to help inform and strategic planning
Uphold a strict level of confidentiality
Complete other assigned projects and administrative tasks

Requirements of the Executive Assistant position
Bachelor’s Degree from a four-year accredited college or university

At least 5 years’ experience supporting VP or executives in a corporate environment
Exceptional organizational skills, including the ability to prioritize and multi-task
Advanced knowledge of Microsoft Office Suite; Word, Excel, Outlook and PowerPoint
Ability to communicate effectively and professionally with all levels of the organization and externally with partners, vendors and other outside parties
Ability to work independently and with minimum supervision
Ability to work in a fast-paced environment
Ability to take initiative and anticipate needs
Must possess strong work ethic; be proactive, resourceful, flexible, and responsible
Ability to handle sensitive information with confidentiality
Must be a team player
