Job Summary of the Executive Assistant position
Integr8staff is hiring a self-directed, multifaceted Executive Assistant to the Chief Information Officer (CIO) for a financial technology services company. He/ she should be well organized, proactive and should be versed in supporting one of the executives of the company, provide project management and operations support.
Responsibilities of the Executive Assistant position
Manage CIO’s calendar and help keep him on schedule, resolving calendar conflicts, ensure
the CIO’s time is spent on the most critical matters and that he is prepared for all meetings.
Plan, coordinate, schedule and run weekly meetings for the Technology teams.
Help write/edit presentations and build PowerPoint decks for meetings.
Develop agendas and meeting materials (presentations or reports), and take, distribute notes
Drive key team activities (ie, staff meetings, all-hands meetings, off-sites & supply ordering)
Assist in facilitating commitments to issues, discussed in meetings, to closure
Compile reports/dashboards/metrics from disparate systems to create daily and weekly
summary/status reports for CIO
Support objectives and key results (OKR’s) at the leadership and team level for Technology organization.
Formalize a process to track progress towards OKRs, and create a weekly status report.
Weekly status update on projects, as well as personnel matters or changes within the
organization, and key performance indicators (KPIs)
Define and assist in processes for improving efficiencies for the CIO and the Technology organization
Acquire in-depth knowledge of the engineering team and company operations to become a
trusted advisor for the leadership team to proactively coordinate meetings and logistics.
Ensure the CIO is available to direct reports and employees when needed.
Plan, organize and execute a variety of projects as needed
Various administrative tasks on a needed basis
Maintain confidentiality throughout the entire employment
Requirements of the Executive Assistant position
Bachelor's degree or equivalent experience or transferable experience (i.e. program
management, business operations, as an analyst, etc.)
Advanced proficiency in Microsoft Applications (including Word, Excel, PowerPoint, Outlook)
Understanding of how technology organizations and teams operate (i.e. agile) and types of
metrics that should be captured on a daily/weekly/monthly basis
Confident and skilled at communicating with executives and other leaders in the organization
including making suggestions for improvements
Agility and flexibility in response to changing priorities and needs
Proficiency in Confluence or Jira a plus
Possesses the following core competencies/attributes: collaboration, business
